Whether they are prompted or newcomers, they will initially need to create an account. Please note that the Registration option is located below the 'Login' on the screen and might require scrolling to be visually seen, depending on the user's screen size or the platform they are using to access it.
Once a Parent enters the initial information, an account will be created for them and they'll begin the registration form.
Parents will first complete a series of questions about themselves. The registration form is dynamic, enabling them to refresh the page or exit and return to where they left off.
If there are any issues, they'll be prompted by errors at the bottom of the page to resolve.
Fields to collect Personal Information are grouped in the following sections:
Household
Ethnicity & Race
Employment & Income
Military
The form follows a standardized format to collect essential, relevant information. However, you have the flexibility to edit certain fields or introduce new ones using the Form Editor. Please be aware that some fields are mandatory and, to maintain data integrity, cannot be modified.
As parents progress through the registration form, they will receive notifications confirming that their information is being saved.
After they've completed their part of the form, they'll then be prompted to add their Participant/s.
Certain fields will auto-populate based on the information they Parents entered for themselves - like their address. Their name will also be displayed boldly to ensure Parents know who they are adding.
Like the Parents section of the form, the fields to collect Personal Information are grouped together. However, since there is so much information to collect when it comes to Participants, there are multiple pages.
The first section, Personal Information, has two categories:
Ethnicity & Race
Assistance Programs
If a parent tries to skip a required question, they will receive a prompt informing them that they have missed a field, and the missed field will be highlighted to grab their attention.
The second section is dedicated to Medical Information and contains:
Medications
Allergies
Primary Physician & Insurance
The third section is dedicated to school information - it is straight forward with only one section.
Lastly, the fourth section is where Parents will enter contacts for their Participant. You can control how many are required.
Before completion, Parents will be directed to a page to confirm the high-level details of the information they entered.
Parents can then either confirm their registration information and select 'CONTINUE' or they can add another Participant. Adding another participant will walk them through the Participant registration section of the form again.
If the parent's registration is complete, they will proceed to the membership selection step. However, this step can be configured to be skipped if it is not a part of your organization's tracking process.
If it is, the Parent will be prompted to select a membership.
If there are any fees associated with the membership, they'll be prompted to confirm their selection and agree to accrue and the pay the associated fee.
After membership selection, Parents will then be directed to Program Enrollment, where they will be eligible to sign-up or waitlist their Participant/s into any programs made eligible to be registered for online.
If no programs are eligible, none will be displayed.
Parents will also have the option to skip enrollment, even if enrollment is available by selecting them underneath 'Enroll Later.'
Currently, online enrollment is only available to Parents registering for the Parent Portal for the first time. Enrollment for returning Parents is coming soon.
At any point during the registration, a Parent can exit and complete later. When they return to the Portal, they'll be prompted first to view their information, to which they can quickly move through if there are no changes.
Once they get to the Participant part of the form, if it has already been filled out, they will see a message to direct them to the last page they were on.
