Logging In

To access the Instructor Portal, first, ensure that you have created and assigned an Instructor to a Class in the Schedule. Make sure the assigned Instructor has a SMS mobile number.

To access the Instructor Portal, first, ensure that you have created and assigned an Instructor to a Class in the Schedule. To assign an Instructor, constituent's must already have the Instructor persona. Make sure the assigned Instructor has a mobile number with the SMS option checked.

Please note that if there is no SMS number assigned to the Instructor, you will encounter an authentication error while attempting to log in. This is because SMS numbers are unique across the entire database, and OnTrack uses this number to lookup the unique Constituent assigned to the entered phone number.

Next, navigate to the Instructor Portal and enter the phone number assigned to the Instructor. The portal will send a 4-digit pin to that number, which you will need to enter for login.

If an Instructor has an assigned SMS number but is not receiving a pin, there might be an issue with their carrier. In such cases, they can use their email to receive the pin.

Once logged in, the Instructor will see two sections: Messages and Upcoming Schedule. They can click on Upcoming Schedule to view classes assigned to them (if any) and take attendance or mark the class.

Just like taking attendance, the Instructor will view all the Participants who are registered for the selected Class. They can then follow the same steps to take Attendance.

Important to remember that Instructors can ONLY take attendance for the current day's classes to protect data integrity. If the date has passed, they will need to turn in any attendance sheet to the organization for back entry.
